Our Process
Every project starts with a conversation. We want to understand what you’re trying to achieve, who needs to see it, and where the content will live. From there, we shape a practical plan — right-sized for your brief, no fuss.
1) Discovery → Scope
We’ll have a quick call (or coffee) and turn your notes into a clear Statement of Work (SOW):
- What we’ll make — deliverables, formats and any versions
- How we’ll make it — approach, crew and equipment (supplied in-house)
- When — outline schedule and key milestones
- Assumptions — anything we’re all relying on (access, contributors, approvals)
You’ll receive a clear, structured proposal, with options where helpful.
2) Booking & Payment
To keep diaries fair and firm:
- 50% deposit confirms and secures production dates
- We operate a first/second hold system. If a second hold challenges, the first hold has 24 hours to confirm and pay the deposit
- Dates are not confirmed until the deposit is received
Remaining payments:
- 25% on completion of production
- 25% on final delivery
Standard invoice terms: 30 days (plus VAT)
Statutory late payment interest may apply where invoices exceed agreed terms.
3) Pre-Production
Good production days are built here. We keep things simple and organised:
- Shot lists, schedules and contributor comms
- Location checks (access, power, sound), with a recce where useful
- Scripts, talking points and visual approach agreed in advance
- All core equipment supplied in-house for consistency and reliability
You’ll receive a clear call sheet so everyone knows where to be and when.
4) Filming (Production)
We work respectfully around your space and team, keeping the footprint tidy and efficient.
- Standard production day: up to 10 hours total (including travel), with a 1-hour lunch
- Overtime:
- 10–12 hours @ T1.5
- 12–14 hours @ T2 (rounded up)
- Over 14 hours is charged as an additional full production day
- Minimum 11-hour rest period between production days
Travel & overnights:
- Mileage charged at £0.60/mile from Lincoln
- Accommodation at cost (single occupancy)
- £90/night working-away fee per crew member where required
5) Post-Production (Edit)
Once we’re back in the studio:
- We ingest, assemble and refine the edit with clean audio and balanced colour
- You’ll receive private review links
- Two consolidated rounds of amends are included
- Captions, social versions or platform-specific exports can be added where needed
6) Delivery, Rights & Retention
What you receive — and how you can use it — is kept clear from the outset:
- Deliverables: completed edited film(s) in the agreed spec (e.g. H.264 MP4 1080p25 and/or ProRes 422 HQ)
- Rushes/project files: not included by default; available under separate quote
- Licence: on full payment, you receive a perpetual, worldwide licence to use the final deliverables for agreed purposes/channels
- Retention: source media and project files are held for 90 days after final delivery; managed archive options are available
7) Changes, Cancellations & Disruption
Things change — we handle that clearly and proportionately.
Change control
If scope or schedule shifts, we’ll agree a change note and confirm any additional costs before proceeding.
Cancellation (client)
The 50% deposit is non-refundable. Additional fees per affected production day:
- 15+ working days: no additional fee (deposit retained)
- 10–14 working days: 25%
- 5–9 working days: 50%
- 2–4 working days: 75%
- Less than 48 hours / no-show: 100%
Postponement
With 15+ working days’ notice, we’ll move the booking once without a fee. The deposit transfers to a new date within 60 days, subject to availability and like-for-like scope.
If events outside anyone’s control prevent or pause production (e.g. venue power failure, evacuation, transport disruption or severe weather), we’ll adapt where safe — re-sequencing, relocating, or switching to record-only where appropriate.
- Waiting time counts toward the production day and any applicable overtime
- If continuing isn’t practical, we’ll re-schedule in line with our force majeure terms
- In genuine force majeure scenarios, charges are limited to time and costs incurred
Where appropriate, we can provide resilient connectivity and contingency planning (e.g. bonded 4G/5G or satellite) to reduce reliance on venue infrastructure.

- We’ll propose a clear plan with options to suit the outcome and budget.
- Confirm with the 50% deposit and we lock in crew and equipment.
