Our Process
Every project starts with a conversation. We want to understand what you’re trying to achieve, who needs to see it, and where the video will live. From there we shape a practical plan—right-sized for your brief, no fuss.
1) Discovery → Scope
We’ll have a quick call (or coffee) and turn your notes into a clear Statement of Work (SOW):
- What we’ll make — deliverables, formats and any versions.
- How we’ll make it — approach, crew and equipment (supplied in-house).
- When — outline schedule and key milestones.
- Assumptions — anything we’re all relying on (access, contributors, approvals).
You’ll get a tidy proposal with options where helpful.
2) Booking & Payment
To keep diaries fair and firm:
- 50% deposit confirms and secures filming dates.
- We operate first/second holds. If a second hold challenges, first hold has 24 hours to confirm and pay the deposit. Dates aren’t confirmed until the deposit lands.
- Remaining payments: 25% on completion of filming, 25% on final delivery.
- Standard invoice terms: 30 days (plus VAT). Statutory late-payment interest may apply where invoices run beyond terms.
3) Pre-Production
Good filming days are built here. We’ll keep it simple and organised:
- Shot lists, schedules and contributor comms.
- Location checks (access, power, sound); site recce if useful.
- Scripts/talk tracks and any graphics look/feel agreed.
- All core equipment is supplied in-house, which keeps quality consistent and logistics straightforward.
You’ll receive a clear call sheet so everyone knows where to be and when.
4) Filming (Production)
We work respectfully around your space and team, keeping the footprint tidy.
- Standard working day: up to 10 hours total (including travel) with a 1-hour lunch.
- Overtime: 10–12h @ T1.5, 12–14h @ T2 (rounded up).
- >14h counts as an additional full day; we keep an 11-hour rest between days.
- Travel & overnights: mileage £0.45/mile from Lincoln; accommodation at cost (single occupancy) plus a working-away fee per crew member where required.
5) Post-Production (Edit)
Once we’re back in the studio:
- We ingest, assemble and refine the edit with tidy audio and basic colour balancing.
- You’ll get private review links with two consolidated rounds of amends included.
- Captions, social crops or platform-specific exports can be added to scope on request.
6) Delivery, Rights & Retention
What you receive and how you can use it—kept clear from the start:
- Deliverables: the completed edited film(s) in the agreed spec (e.g. H.264 MP4 1080p25 and/or ProRes 422 HQ).
- Rushes/project files: not included by default; available under a separate quote (covers preparation time and media/hosting).
- Licence: on full payment, you receive a perpetual, worldwide licence to use the final deliverables for the purposes/channels in your SOW.
- Retention: we keep source media/project files for 90 days after final delivery; managed long-term archive is available if you’d like us to hold material beyond that.
7) Changes, Cancellations & Disruption
Things change—we handle that sensibly and transparently.
- Change control: if scope or schedule shifts, we’ll agree a change note and quote any extra time/crew/licences before proceeding.
- Cancellation (client): the 50% deposit is non-refundable. Additional fees per affected shoot day:
- 15+ working days: no extra fee (deposit retained)
- 10–14 working days: 25%
- 5–9 working days: 50%
- 2–4 working days: 75%
- <48 hours / no-show: 100%
- Postponement: with 15+ working days’ notice, we’ll move once without a fee and transfer the deposit to a new date within 60 days, subject to availability and like-for-like scope.
- On-the-day disruption (beyond control): if power failure, evacuation, strikes or severe weather prevent filming/streaming, we’ll adapt where safe (re-sequence, relocate or record-only as appropriate). Waiting time counts toward the day and any applicable overtime. If continuing isn’t practical, we’ll re-schedule under our force-majeure terms with charges limited to time/costs incurred in genuine force-majeure events.
